Instructions for configuring various email clients on desktop and laptop computers and mobile devices, along with instructions for accessing shared mailboxes (such as departmental addresses) can be found on this page.

Microsoft Outlook, available by downloading Microsoft Office at Office.com, is the recommended and supported method of checking your Providence College email account. Instructions are available for using the native Mail app in macOS for your convenience. However, Outlook is the only IT-supported client.
For all of the instructions below, you will want to make sure that your computer has internet access during the setup process.
Outlook 365 for Windows
- Open Outlook.
- It should ask for your name, email address, and password. If you are logged onto a computer on the Providence domain, it should auto-discover this information.
- If it does not automatically ask you for this information, Click File.
- Click Add Account.
- Input Your Name, E-mail Address and Password.
- Click Next and it should auto-discover your email account information.
- Outlook should now be set up.
- If you are off campus, it will ask for a username and password. The username box should be filled with your full email account. Simply enter your email password in the password box and click OK. If you are doing this from a computer on the Providence domain, this will not happen.
Outlook 365 for macOS
- Open Outlook.
- Under the Outlook Menu Bar, select Preferences.
- Click Accounts.
- Click Add Email Account.
- In the email address field, enter your full email address.
- Click Continue.
- Outlook will detect that you are using an Office 365 email account and configure the necessary settings.
- If you are asked for a server, input outlook.office365.com.
- You may get a window popping up that says Verify Certificate.
- Click Continue.
- If prompted, input your laptop’s login password.
- Click Done.
- Close the Accounts window that may still be open.
Mail app for macOS 10.14 Mojave or newer
- Open System Preferences.
- Choose Internet Accounts.
- Click the + at the bottom of the accounts list on the left.
- Choose Exchange on the right.
- Enter your name and email address.
- Choose Sign In.
- Select Work or school account.
- Enter your password and click Sign in.
- When using an off campus network, you will be prompted with the additional verification before continuing to the next step.
- You will be asked to select which apps you want to use with your account. Make your selections and click Done.
- You can now access your account through the chosen apps.
Email on Mobile Devices
The Outlook app, available in the App Store on Apple iOS devices (iPhones and iPads) and the Google Play Store on Android devices, is the recommended and supported method of checking your Providence College email account. Instructions are available for using the native iPhone and iPad mail apps for your convenience. However, Outlooks is the only IT-supported mobile email client.
For all of the instructions below, you will want to make sure that your phone has internet access during the setup process.
Outlook App for iOS or Android
- Once you have installed Outlook, tap the icon to open the app.
- Tap Get Started.
- Choose whether or not to turn on notifications.
- Enter your full email address.
- Outlook will look for your email server. Once it is found, enter your email password.
- If you are prompted to manually enter the email server, enter outlook.office365.com.
- Tap Sign In.
- Allow your inbox to populate.
- Outlook is ready for use.
iOS Mail App
- Go to Settings.
- Choose Mail.
- Choose Accounts.
- Choose Add Account.
- Choose Exchange.
- Enter your full email address and a description. The Description can be anything of your choosing, though it should auto-populate with “Exchange.”
- Tap Next at the top.
- When the pop-up appears asking if you want to sign into your account, choose Sign In.
- Select Work or School Account.
- Enter your email password and tap Sign In.
- When using an off campus network, you will be prompted with the additional verification before continuing to the next step.
- You will be asked which items you would like to sync with your phone. Make your selections and then tap Save at the top.
- You can now access your email in the Mail app.
Accessing Shared Mailboxes
Via the Web
- Sign into your own account at outlook.office.com.
- Click on your profile picture or initials in the top right-hand corner.
- Choose “Open another mailbox.”
- Enter the email address you’d like to access.
- Click OK.
- The mailbox for that account will open in another tab/window.
If you wish to monitor the shared mailbox from the same tab/window as your primary email account, you can add it to the left navigation pane, much like with the desktop version of Outlook.
- Sign into your own account at outlook.office.com.
- Right-click on your primary mailbox in the left navigation pane (either your name or the word “Folders”) and choose “Add shared folder.”
- In the dialog box that displays, enter the email address for the shared mailbox.
- Click Add.
- The mailbox for that account will display below your own in the left navigation pane.
If you wish to remove the shared mailbox from the left navigation pane, simply right-click the name of the shared mailbox and choose “Remove shared folder.”
Via Outlook for Macs
- Open Outlook.
- Click on the Outlook menu and choose Settings.
- Choose Accounts.
- Select your Providence College account on the left.
- Click the Delegation and Sharing button.
- Click on Shared With Me at the top.
- Under “Open these additional mailboxes:” click the add (+) button.
- Enter the email address you’d like to add.
- Click Add.
- Click Done.
- When you close the Preferences window, you should see the mailbox added in the list of mailboxes on the left. It may take some time for the information within that account to populate. You may need to quit Outlook and re-open it.
Via Outlook for Windows
Any additional mailboxes to which you have been granted access should automatically populate in the mailbox list on the left sidebar. This may take some time following the granting of access.
